Terms of service
The terms that apply when you book a collection or drop-off with us. Please read them before you book.
Last updated: 5 October 2026
1. About these terms
These terms apply to services provided by Innovate Prime Ltd, trading as Innovate Prime Renew (company number 16858556, registered office 66 Surrey Drive, Coventry, CV3 1PL). Our services are for businesses and other organisations. If you are booking as a consumer, your statutory rights are not affected.
2. Quotes and bookings
Our online quote is an estimate based on what you tell us. When you submit a booking, you are asking us to carry out the work. A contract is formed when we confirm the booking with you in writing (by email). We may decline a booking, for example if equipment is outside what we can accept.
3. Prices
Our current prices are set out on our pricing page. In summary: Collection is free when one booking includes 10 or more computers (laptops, desktop PCs, all-in-ones or servers), of any age and in any condition, within 50 miles of Coventry. Further away, it's free for 20+ computers on a date you choose, or for 10+ on our next scheduled trip to your area. Otherwise collection is £39, and smaller loads more than 50 miles from Coventry are collected on our next scheduled trip to that area. Dropping items off at our premises is free. The price you see when you book is the price for that booking, even if our published prices change later.
No-surprises promise: If what we collect matches what you told us, you pay the price you were quoted. If it doesn't, we'll tell you before charging anything extra, and you can choose to have those items returned. If there's less to charge for than expected, your price goes down.
Any rebate for equipment with resale value is agreed with you in writing after assessment.
4. Your responsibilities
- You confirm you are authorised to dispose of the equipment on behalf of your organisation.
- You describe the equipment accurately, including the types and quantities of items.
- Where you can, remove devices from device-management systems and sign out of accounts (for example Apple ID or Google accounts), so activation locks don't stop the device being reused.
- You tell us in advance about damaged or swollen batteries or any hazardous items.
- You don't include items that aren't IT or electrical equipment.
5. Collection and ownership
We collect equipment in sealed, numbered containers and you sign a collection note confirming the item count. Ownership of, and responsibility for, the equipment passes to us when the collection note is signed (or when you hand equipment to us at drop-off). The data stored on it remains yours, as described below.
6. Your data and data sanitisation
For data stored on your equipment, you are the data controller and we act as your data processor under our data processing agreement, which forms part of these terms. We sanitise every storage device using a method suited to its type and verify the result, or physically destroy it. We issue a certificate of data sanitisation listing each drive by serial number. Physical destruction instead of sanitisation is available on request.
We can only sanitise storage that you hand to us. Copies of data elsewhere, such as cloud accounts, backups or other devices, remain your responsibility.
7. Reuse and recycling
After sanitisation, we decide how equipment is best reused, used for parts or recycled, unless we agree otherwise with you in writing. Some refurbished equipment may be donated to Innovate Prime Academy. Equipment that can't be reused is recycled through an Approved Authorised Treatment Facility under the WEEE Regulations.
8. Payment
Where charges apply, we will send you an invoice after collection. Invoices are payable within 14 days by bank transfer. For business customers, we may charge interest and compensation on late payments under the Late Payment of Commercial Debts (Interest) Act 1998.
9. Changes and cancellation
You can cancel or rearrange a collection free of charge by telling us at least one working day before it's due. We'll let you know as soon as possible if we need to rearrange.
10. Liability
Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law. Otherwise, we are not liable for indirect or consequential losses, or loss of profit, and our total liability arising from any booking is limited to the greater of the fees paid for that booking and £10,000.
11. Law
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
